To streamline the data entry process, it's recommended to enter student initial testing information periodically throughout the year. This proactive approach helps prevent backlogs and ensures no student is overlooked. When entering data, remember to:
- Use each student's SIMS number, or if unavailable, use "DOB+student initials".
- Record the date permission was received, starting with the day permission is in hand.
- Include all relevant evaluation dates, particularly skill-based evaluations.
School Calendar Considerations
Accuracy in reporting requires careful attention to your school calendar. When counting the 25-school day evaluation period, it's essential to:
- Start with the date permission was received.
- Exclude non-school days such as vacations, weekends, and teacher workdays.
- Include make-up days, half days, and any scheduled school days.
If your district's preschool program follows a different calendar, ensure this is reflected in Launchpad to maintain accuracy. Indicate in the comments if a student is in preschool to ensure the correct count of school days.
Reporting and Exceptions
It's crucial to understand when to report students under Indicator 11:
- Report if permission is received, even if the student moves during the testing window.
- Include students evaluated by outside evaluators or those moving into the district requiring additional evaluations.
Conversely, do not report students if they are undergoing a three-year re-evaluation, are currently receiving services and being evaluated for additional services, or if permission is not obtained.
Managing Timeline Extensions
Sometimes, the evaluation process may require timeline extensions. Parents can agree to extend the timeline by signing an extension on the prior notice. In Launchpad, record this agreement and provide a reason for the extension. This transparency ensures that the district remains compliant and accountable.
